Export your patient visit history
Optional — for reactivation texts, not for connecting your booking calendar.
A step-by-step guide for the front desk — no technical skill needed.
This guide is for the optional patient-reactivation feature only. Connecting your booking calendar is a separate, short step your OSCAR administrator does with Chris on the setup call (registering the app under OSCAR's "Manage REST Clients (OAuth)"). Nothing here is required before that call.
What we do and don't receive
- We receive: first name, last name, phone number, the date of each past visit, which provider they saw, and the reason/type of that visit.
- We never receive health card numbers, ever — the report is written so OSCAR never even includes that column.
- We never receive medical notes, diagnoses, medications, or anything from a patient's chart.
- We never receive anything about a future or upcoming appointment — only past visits.
- The file only leaves your OSCAR when you choose to export and send it. Nothing is pulled automatically or in the background.
Step 1 — Get the template into OSCAR
Someone with admin/full access to your OSCAR does this once: open
Admin → Report by Template (some OSCAR versions call this
Reports, or a small chart/document icon), choose
Add New Report or Upload Template, and load the file we
give you (patient-visit-history.txt). It appears in the
report list as "Patient Visit History for Reactivation Import."
Step 2 — Run the report
Open that report, enter an earliest visit date (as far back as your OSCAR records go, if you want your full history) and today's date as the latest. If it asks for a provider or clinician, leave it set to all providers (or blank) — narrowing it to one provider exports only that provider's patients, not the whole clinic. Then run it. You'll see a table: one row per patient visit.
Step 3 — Save it as a file and send it to us
Export or download the table as a CSV file, then send it the way we've already arranged with you. Don't post patient information anywhere public. Once this is set up, repeat Steps 2 and 3 weekly so new patients and visits stay current.
If something goes wrong
Can't find the report, or the table looks empty? Send us a screenshot of your Admin menu and we'll point you to the right place — different OSCAR versions and forks lay this out a little differently. We'd rather help than have you guess.
