Better Clinic Booking
Built for OSCAR & Kai-OSCAR clinics
Bea runs your front desk in OSCAR and brings patients back.

Bea brings lapsed patients back to your clinic, books online, refills cancellations by text and answers the calls your front desk can’t.

Live at Fit for Life Wellness & Rehab Centre, Woodbridge ON. Have your OSCAR administrator on the call — connecting takes them about two minutes.

Online booking: live. SMS refill: connected. OSCAR write‑back: on the call.

How it works

One call. A two-minute OSCAR connection. One line on your website.

One call to confirm your hours and services, one line on your website.

Typical: one call, a two-minute OSCAR connection by your admin, one line on your website.

STEP 1
Book a call

Fifteen minutes: we check your OSCAR setup and set a go-live date.

What we confirm on the call

Fifteen minutes. We look at your OSCAR setup, confirm compatibility, and set a go-live date.

The OSCAR connection check in the front desk before setup: Not connected, patients can't book online until the clinic's OSCAR username and password are saved and verified
STEP 2
Connect OSCAR on the call

Your OSCAR admin approves access for Bea — about two minutes.

What we confirm on the call

Your OSCAR admin approves access for Bea — about two minutes — and your services and practitioners come across as you have them.

The OSCAR connection check in the front desk after approval: Connected, last verified Sep 26, 2026
STEP 3
We connect and you go live

Your desk keeps using OSCAR exactly as today. Bookings appear there.

The front desk schedule: a patient's appointment sits in their practitioner's column, marked Booked
Works with OSCAR

Three ways to book. One OSCAR schedule.

Your front desk keeps working exactly as today — Bea takes the ones it can’t get to.

Booking lives at your own address — not a third-party page.

They send a text

Bea texts them back and books it.

They call

Can’t get to the phone, or it’s after hours? Bea takes the call, books it, and hands back anything that needs a person.

All three land in your OSCAR schedule.

Bea reads your schedule live. She writes a booking in only after you approve it — off until you say go.

Hosted on Google Cloud in Montréal. Health card numbers are never stored.
What we confirm on the call

Your OSCAR. We connect directly to your OSCAR — Kai-hosted or OSCAR Pro — confirmed on the call before anything is set up.

Reading and writing. Availability is read live. Bookings are written back only after you approve write access — it stays off until you say go, and OSCAR stays your system of record either way.

Your front desk. Your desk keeps its OSCAR schedule and works exactly as today. Bea writes into it and hands anything unusual to a person.

Where it runs. Google Cloud, Montréal. Health card numbers are never stored. Details in the privacy policy.

BAA available. Signed before anything about your patient list moves.
Recall texts, written to the rule. Sent as a health-care recall, never as marketing.
STOP honored instantly. Every opt-out takes effect immediately, no exceptions.
Starts in simulation. Goes live only when you say so.
Works from your patient list — any EMR, no integration needed.
The math

What an empty slot costs your clinic.

Fee-for-service: an unfilled visit is a $90–$148 invoice you never sent.

≈$90 lost every time a 30-min physio visit goes empty Industry benchmark, not our result
27–40% of cancelled slots get refilled when a human works the phone list Industry benchmark, not our result
Where these numbers come from

If you bill fee-for-service, an unfilled visit is a $90–$148 invoice you never sent. If you’re in a FHO/FHG capitation model, the cost is access and rostering, not the fee — we model your case on the call.

≈ $90 per empty 30-min physio visit: Ontario Physiotherapy Association, 2026. 27–40% of cancelled slots refilled by a human working the phone list: McLean et al., 2016. Both are industry benchmarks, not our result.

What we send out
  • Refills
  • Reactivation

Assuming $ a visit, % of your patients lose a slot each week, and over the year % of your patient list comes back for a course of care of about visits.

How this is counted

Slots lost a week at 1% of your patients is an assumption, not a benchmark — set your own. Modeled scenario, not a promise. Only the visit price carries a sourced default.

Visit-price default of $90 is the Ontario Physiotherapy Association's 2026 average 30-minute treatment fee; edit it to match what you actually charge.

Slots lost a week means cancellations plus after-hours and missed calls. Half are counted as cancellations and half as missed calls, and 27% of each is counted as recovered: the low end of the 27–40% refill benchmark (McLean et al., 2016), applied to both.

Reactivation is modeled explicitly as a course of care, not a blended monthly rate: the share of your patient list you say returns over a year, each coming back for the number of visits you set, spread evenly across the twelve months. No healthcare-specific data exists for either number — the return rate and the visits per returned patient are both your own estimates to set, not ours. Real allied-health care comes in bursts (roughly 4–8 visits over 2–8 weeks) rather than one visit at a time; the visits-per-patient default of 6 sits inside that range, not a measured rhythm.

FAQ

Before you book the call.

Is Bea replacing my front desk?
No. She takes the bookings, texts and calls your desk can’t get to, and hands anything unusual to a person.
Do you work with my OSCAR?
We connect directly to your OSCAR — Kai-hosted or OSCAR Pro — confirmed on the call before anything is set up.
Do you work with my EMR?
Yes — any EMR. Keeps the EMR you already run — nothing to connect, nothing to migrate.
What does setup take?
Typically one call, a two-minute OSCAR connection by your admin, and one line on your website. We set the go-live date on the call.
What does setup take?
Fifteen minutes: we confirm your hours, services, and practitioners, and set a go-live date. Then one line on your website.
What do patients see?
A Book button on your own site. They pick a service, see the real month, choose a time, and get a text confirmation. When a slot opens, waitlisted patients get a text and the first yes takes it.
What about privacy?
Hosted on Google Cloud in Montréal. Health-card numbers are never stored. Details in the privacy policy.
What about privacy?
A BAA is available, signed before anything about your patient list moves. Details in the privacy policy.
I don’t run OSCAR.
Today we only serve Canadian clinics on OSCAR.
When does it start texting my patients?
It starts in simulation and goes live only when you say so.
How does patient reactivation work?
Optional to switch on. Bea texts your lapsed patients to rebook — you choose the window and the wording; every text names the clinic and carries STOP. Consent basis documented before any clinic enables it.
How does patient reactivation work?
It works from your patient list. Recall texts are sent as a health-care recall, never as marketing; we only text patients who’ve consented, and every STOP is honored instantly.
